Club Context
Goal
The club context describes how a club checks its workspace, maintains master data, venues, people, memberships, teams, rosters, coaches and training times. It prepares the club for league registration and game-day workflows.
Role and Permission
- Club administrator for club master data and club-wide workflows.
- Team manager for team-related work if configured.
- Administrator or association administrator for support and corrections.
Prerequisites
- The club exists and is active.
- The signed-in person has an active club membership and club function.
- The club workspace is visible in
/admin.

4.1Check Club Workspace
Goal and Access
The club verifies that the correct club workspace is available and that the user is not accidentally working in system or association administration.
Workflow
- Sign in with the club account.
- Open
/admin. - Use the workspace switcher if several workspaces are available.
- Select the club workspace.
- Check that club navigation entries are visible.
- Open the club overview and confirm the club name.

| Club workspace is visible. | [ ] |
| Correct club is active. | [ ] |
| Club navigation is available. | [ ] |
4.2Understand Club Roles and Team Roles
Goal and Access
Club administrators understand which roles grant club-wide access and which roles only describe team responsibility.
Role Matrix
| Role / function | Typical effect |
|---|---|
| Club administrator | manage club data, people, teams and submissions |
| Team manager | work on configured team contexts |
| Coach / staff | functional contact or later game-report selection |
| Member without function | person data exists, no admin access by itself |
Typical Misunderstandings
- A membership alone does not grant Admin access.
- A team contact is not automatically a club administrator.
- A coach profile is relevant for game reports but not a permission by itself.
4.3Check Club Data
Goal and Access
The club checks its name, short name, contact data, public website fields and image so public pages and downstream workflows show the correct information.
Workflow
- Open
Club data. - Check name, short name, status, address and contact fields.
- Upload or update the club image if needed.
- Save.
- Open the public master-data page after teams/registrations exist.
Checklist
| Check | Done |
|---|---|
| Club name and short name are correct. | [ ] |
| Contact data is current. | [ ] |
| Public image is appropriate. | [ ] |
| Club status is active. | [ ] |
4.4Create Venues
Goal and Access
Venues define where club home games and training sessions can take place.
Example Data
| Club | Venue |
|---|---|
| Feldberg Füchse | Spielwiese am Waldrand |
| Tannenhang Dachse | Südhang-Arena |
| Kinzigtal Kauze | Kinzigtal-Lichtung |
Workflow
- Open
Venues. - Click
Create Venue. - Enter name, address, status and club assignment.
- Add public image or directions if available.
- Save.
- Check that the venue can be selected for games or training times.
4.5Create People and Members
Goal and Access
People and club memberships provide the basis for administrators, players, coaches, referees, officials and game report recorders.
Workflow
- Open
Peopleor the club member area. - Create the person or find an existing person.
- Enter name, birth date, email and status as needed.
- Add the club membership.
- Upload a member photo if the demo scenario requires it.
- Save.
Typical Mistakes
- Creating duplicates instead of reusing an existing person.
- Forgetting active membership.
- Expecting a person to appear in a team before a team-player record exists.
4.6Maintain Other Club Functions
Goal and Access
Club functions document responsibilities such as club administration, team management, contact roles or other functional duties.
Workflow
- Open
Club functions. - Create a function for the club and person.
- Select function type and status.
- Save.
- Check whether the function creates the expected workspace or only a contact role.
4.7Create Teams
Goal and Access
Teams are the sporting units later registered to leagues.
Example Data
| Team | Club | Intended league |
|---|---|---|
| Feldberg Füchse U13 | Feldberg Füchse | U13 Lichtungsliga |
| Feldberg Füchse U16 | Feldberg Füchse | U16 Tannenliga |
| Kinzigtal Kauze Offen | Kinzigtal Kauze | Offene Waldliga |
Workflow
- Open
Teams. - Click
Create Team. - Select club, name, short name, mode/status and age category if available.
- Add team image and jersey images if required by the demo.
- Save.
- Check the Admin list and later public display after league registration.
4.8Maintain Team Players and Roster
Goal and Access
Team-player records assign club members to a team roster. They do not by themselves approve the player for a league.
Workflow
- Open
Team playersor the roster maintenance page. - Select the team.
- Add members to the roster.
- Maintain jersey number, position and status if needed.
- Save.
- Check that the roster contains enough players for the later league player list.
Boundary
The roster is the club's internal team basis. League eligibility is decided later through league player registration and review.
4.9Maintain Coaches and Staff
Goal and Access
Coach profiles and staff contacts prepare coach requirement checks and later game report selection.
Workflow
- Open
CoachesorTrainer profiles. - Select the person and club.
- Set profile status and license hints.
- Add team contact or staff function if needed.
- Save.
- Check whether the coach can be selected in later team-page workflows.
Typical Mistakes
- A coach profile does not replace a license application.
- A team contact is not automatically a coach in the game report.
- Missing active person or membership prevents later selection.
4.10Maintain Training Times
Goal and Access
Training times document when a team trains at a venue. They support master-data completeness and public information where used.
Workflow
- Open
Training times. - Create a training slot.
- Select team, venue, weekday and time range.
- Add notes if needed.
- Save.
- Check the list for duplicates and wrong venues.
Expected Result
- Club workspace and permissions are clear.
- Club, venue, people, membership, team and roster data are prepared.
- Coach and staff data can be used later in team pages and game reports.
- Training times are maintained where relevant.
Typical Mistakes
- Working in the wrong workspace.
- Creating duplicate people, teams or venues.
- Confusing roster membership with league player approval.
- Expecting public display before league registration exists.
Review Criterion
The chapter is complete when the club can use its workspace, maintain its master data and prepare all people and teams needed for league and game-day operations.
