Communication and Changes
Goal
Game-change communication ensures that a change is not only stored in the schedule, but also reaches the affected people. This chapter explains how league administration and referee/official assignment maintain date, venue or game status cleanly and then communicate the change traceably through a briefing.
A briefing does not replace schedule maintenance. First, the game data is changed in the responsible area. Then the information is documented as a draft or sent from the briefing area.
Role and Access
| Role | Access | Task in this chapter |
|---|---|---|
| League administration | Competition > Games | Maintain date/time, venue, game status and notes on the game |

| Home club and away club | Recipients of the change | Receive the change through briefing delivery when selected |
| Referees and officials | Recipients when an assignment is affected | Are informed when assignment or duty details are affected |

Example Games
The examples help with trying the workflow in the demo application. In a real season, use your own games and contacts.

|---|---|
| WLD-002 | Game rescheduling or time change with home and away club as recipients |
| WLD-005 | Cancellation or new scheduling with a special message |
11.1Document and Communicate Game Change
Goal
A game change is complete when two things match: the functional game data has been changed in the right place, and the information has been saved or sent as a briefing. The history then shows who was informed and whether delivery was successful.
Classify the Change
| Change | When you use it | Typical briefing type |
|---|---|---|
| Time change | Date stays the same, but the time changes | Time change |
| Game rescheduling | Date, venue or several date/time details change | Game rescheduling |
| Cancellation | The game does not take place as planned | Cancellation |
| Correction or addition | Sent information must be corrected or supplemented | Correction / addition |
| Other | The message does not fit one of the fixed change types | Other |

Check Recipients
For change types such as Time change, Game rescheduling, Cancellation and Correction / addition, home club and away club are preselected as recipients when they have an email address. Assigned referees and officials can be selected in addition.
| Recipient group | When it should be selected |
|---|---|
| Home club | Always when date/time, venue, cancellation or new scheduling affects the home team |
| Away club | Always when date/time, venue, cancellation or new scheduling affects the away team |
| Referees | When a duty, time, location or follow-up question is affected |
| Game officials | When timekeeping, penalty bench, tournament management or other roles are affected |
| Free recipients | When an additional person must be informed |
Read History and Follow-up Briefing
After saving, the briefing appears in Game preparation / Briefings. The table shows Type, Subject, Status, Delivery and Actions.
| Display or action | Meaning |
|---|---|
Draft | Briefing is saved but has not been sent yet |
Sent | Briefing was sent to the selected recipients or logged as undeliverable |
Outdated | Game or assignment data changed after delivery |
Edit | Opens a draft that has not been sent yet |
View | Opens a sent briefing as a snapshot |
Send again | Sends a sent briefing again to all recipients |
Retry failed | Sends only to recipients whose delivery failed |
Follow-up briefing | Creates a new correction or addition referencing the old briefing |
Sent briefings remain available as snapshots. If a message must be corrected after delivery, create a Follow-up briefing instead of overwriting the old delivery. In the detail view, the Delivery history section shows when each recipient was reached, skipped or logged as failed.
Understand Locks
When a game report has been finally reviewed, the application locks further assignment changes and new briefings. The page then shows a message equivalent to: Game report reviewed - referee assignment locked. For a later functional correction, first change the league decision in the referee ombuds office context.
Typical Mistakes
- Date/time or venue is changed, but no briefing is prepared.
- A briefing is sent before home and away club have been checked.
- A cancellation is written as a normal game rescheduling.
- Someone tries to edit a sent briefing afterwards, even though a follow-up briefing is required.
- An assignment change is communicated without maintaining the slots in referee assignments.
