Referee Context
Goal
The referee context describes work around availability, own assignments, referee and official assignment, referee review and feedback on the game report.
The chapter deliberately separates three views:
| View | What this view is for |
|---|---|
| Referee or official | maintain own availability, read own assignments and review game reports from own role |
| Referee assignment | assign people from availability, pool and license state to concrete games |
| Game report recorder | understand when a submitted report moves on to referee review |
Role and Permission
| Role | Typical work in this chapter |
|---|---|
| Referee | set availability, open own assignments, review game report, save feedback |
| Timekeeper, penalty bench, tournament management | read own assignments and be visible in assignment depending on the concrete official role |
| Referee assignment or league administration | assign referees and other game officials and send briefings |
| Club administrator | set availability for own referee/official profiles by proxy |
Direct References
| Context | When you switch there |
|---|---|
| Club game operations subsection 5.6 Set referee availability by proxy | when a club maintains availability for its own people by proxy |
| Game report recorder context | when result, lineups, coach entries, events or add-on sheets are entered |
| Review & approval subsection 10.1 Review game report and make league decision | when the league evaluates referee feedback and makes the final decision |
| Communication and changes | when assignment, game rescheduling, cancellation or follow-up briefing are actively communicated |
Prerequisites
| Prerequisite | Meaning |
|---|---|
| Active profile | The person is prepared as referee, official, timekeeper or game report recorder |
| Schedule | Games have season, league, teams, date, time and venue |
| Referee registration | Referee profiles are submitted and confirmed for the season if they should be assigned as referees |
| Workspace | Referees work in Referee / Official / Recorder; assigners work in the association workspace |
Subsections
| No. | Topic | Goal |
|---|---|---|
| 9.1 | Set own referee availability | report per game day and venue whether assignment is possible |
| 9.2 | Open my assignments | read assigned games, roles and review status |
| 9.3 | Create referee and official assignments | assign people to concrete games and communicate changes |
| 9.4 | Review game report | check submitted report from referee perspective |
| 9.5 | Enter referee feedback | confirm report or save objection with comment |
Example Games
The examples help with trying the workflow in the demo application. In a real season, use your own games, people and venues.
| Example | Suitable for |
|---|---|
| WLD-001 | finally reviewed report, only for orientation |
| WLD-004 | referee review with objection and correction path |
| upcoming WLD game day | availability and assignment before game day |
9.1Set Own Referee Availability
Goal
Referees and officials report per game day and venue whether they can be assigned. An entry does not apply to one single game, but to the combination of date and venue. If several games take place there, the same availability applies to all games at that location.
Availability is a planning signal. It does not replace an assignment and is not a promise for a concrete duty.
Status Values
| Status | Meaning |
|---|---|
Available | Person can be considered for this game day and venue |
Unavailable | Person should not be assigned for this game day and venue |
Unknown | Feedback is open or deliberately unclear |
Workflow
- Sign in as referee or official.
- Switch to the workspace
Referee / Official / Recorder. - In navigation, open
Refereesand thenReferee availability. - Select the season if needed.
- In
Person selection, check that your person is visible. - Click
Edit availability. - Find the matching game day and venue.
- Use
Show allif past game days should be visible. - Click
Set availability. - Select
Available,UnavailableorUnknown. - Add a short
Noteif needed. - Click
SaveorSave and return to game-day selection.
Proxy Maintenance
The normal case is maintenance by the referee or official. A club administrator can set availability by proxy for people of their own club when the feedback arrived outside the system.
For this proxy case, the club opens Open tasks > Referee availability. Workflow and meaning of the status values stay the same. The note should briefly explain that the feedback was entered by proxy.
Controls
| Element | Meaning |
|---|---|
Referee availability | entry point for own or proxy availability feedback |
Back to person selection | back to selectable person in the season |
Show current only / Show all | controls whether past game days are visible |
Set availability | opens status and note for game day and venue |
Note | optional note for time window, travel or proxy case |
Save and return to game-day selection | saves and jumps back to the game-day list |
Typical Mistakes
| Situation | Meaning |
|---|---|
Referee availability is missing | check workspace and active referee/official profile |
| no season visible | there is no available season in the current context |
| no game days visible | the schedule has no dated games for this season yet |
| person is missing | person is not in the own referee/official pool or not active |
| status was expected for a game | availability is saved per game day and venue, not per individual game |
9.2Open My Assignments
Goal
My assignments is the personal overview of assigned games and roles. A person sees only games where they are involved as referee, timekeeper, penalty bench, tournament management or coach.
The page is read-only. Availability is maintained under Referee availability. Concrete assignment is done by league administration or referee assignment.
Workflow
- Sign in as referee or official.
- Switch to the workspace
Referee / Official / Recorder. - In navigation, open
Refereesand thenMy assignments. - Select the season if needed.
- In
Time range, set the desired filter. - If needed, limit the view in
Roleto a role group. - Click
Showafter changing the role filter. - Read game day, venue, game, time, league, matchup, own role and review status.
- On a reviewable report, open
Review noworView/change review.
Filters
| Filter | Meaning |
|---|---|
Open reviews | shows referee assignments with reviewable report and own review still open; this can also include finally reviewed reports when own historical feedback is still missing |
Planned | shows upcoming assignments |
Played | shows past assignments |
All | shows all own assignments in the season |
| Role | Meaning |
|---|---|
All roles | all own assignments |
Referee | referee slots such as first, second or head referee |
Timekeeper | timekeeper roles |
Official | penalty bench, tournament management or game-day helper |
Coach | coach roles from the game report, if the same person may open the referee/official workspace |
Review Status
| Status | Meaning |
|---|---|
No report yet | there is no game report for the game yet |
Waiting for submission | the report is not yet in a reviewable status |
Review open | own referee review can be submitted |
Confirmed | the person confirmed the game report from their own perspective |
Objected | the person documented a discrepancy |
Finally reviewed | the report has been completed by the league |
Referee feedback on a finally reviewed report is only historical late feedback. It does not open a correction path and does not change the league decision.
Typical Mistakes
| Situation | Meaning |
|---|---|
My assignments is missing | check workspace and referee/official profile |
No assignments for the current filters. | switch from Open reviews to Planned or All |
No own assignments yet. | there is no assignment or coach role for this person yet |
| no review action visible | the report is not submitted yet or the own role is not review-required |
Support Recording as Timekeeper or Penalty-Bench Official
- Open
My assignmentsand check season, game day, venue, teams andOwn role. - Use
Timekeeperfor timekeeping orOfficialfor other assigned functions. Timekeeping, penalty bench and tournament management are different tasks. - Agree with the approved recorder how confirmed period scores, goals, penalties, timeouts and special incidents are handed over. Identify game, team, person and time clearly; clarify uncertain information with referees.
- If you are to enter the report yourself, arrange separate approval as a recorder. In the appropriate workspace,
Record game dayshows club releases and league assignments.
A timekeeper or official slot, licence or entry in My assignments alone does not grant report-recording access. The assignment page is read-only. No live game clock is operated here.
Recording, referee feedback and the final league decision are separate steps. A referee objection does not automatically return a report for editing; league management issues any necessary correction request.
9.3Create Referee and Official Assignments
Goal
Referee and official assignment assigns prepared people to concrete games. This work belongs to league administration, referee assignment or administrators with matching association access.
Availability, pool, registration status and license state help the decision. They do not replace the decision.
Basics
| Basis | Meaning |
|---|---|
| Schedule | game has league, teams, date, time and venue |
| Referee/official pool | people are prepared and active in the club |
| Referee registration | referee profiles are confirmed for the season |
| License state | referee and timekeeper licenses are visible in assignment and checked before assignment |
| Availability | feedback per game day and venue is visible or consciously unknown |
Workflow
- Sign in as league administration or referee assignment.
- Switch to the association workspace.
- In navigation, open
Competitionand thenReferee assignments. - Select the season if needed.
- Use
Show allif past game days should be visible. - On the matching date and location, open
Open game day. - On the concrete game, open
Edit assignment. - Fill referee slots with
AssignorChange. - Fill further game officials with
EnterorChange. - Check availability, note, license hint and possible role conflicts.
- Remove wrong assignments with
WithdraworRemove. - Check that the duty then appears under
My assignments.
Slots
| Slot | Purpose | Typical source |
|---|---|---|
1st referee | leads the game on the rink | confirmed referee registration with matching license state |
2nd referee | second field referee, if required | confirmed referee registration with matching license state |
Head referee | functional lead or observer role | confirmed referee registration with matching license state |
Official timekeeper | manages game time and game-day data | official profile with timekeeper role and license hint |
Second timekeeper / lay timekeeper | supports or substitutes timekeeping according to league rules | active person from the official pool |
Penalty bench attendant | supports penalties and bench times | active person from the official pool |
Tournament director | coordinates multiple games or a game day on site | active person from the official pool |
Game-day helper remains important in the club pool, but is not a dedicated slot in the current assignment form.
Classify Availability
| Signal | Classification |
|---|---|
Available | person can be considered for date and venue |
Unavailable | person should not be assigned; decide any exception consciously |
Unknown | feedback is missing or open |
| Note | consider restriction, time window or travel hint |
| License hint | check functionally before assignment, especially for referee and timekeeper |
Prepare and Send Briefings
The briefing area is in single-game assignment under Game preparation / Briefings. A briefing actively informs people about duty, change, rescheduling, cancellation or addition. It does not replace assignment.
- Open the concrete game through
Edit assignment. - Check roles, date/time, venue, notes and recipients.
- Click
Create briefing. - Select the matching type, for example
Game preparation,Time change,Game relocation,CancellationorCorrection / addition. - Check
Subject,MessageandRecipients from assignment. - Add
Manual recipientsif needed. - Use
Save draftorSave and send.
| Element | Meaning |
|---|---|
Create briefing | creates a draft for active communication |
Recipients from assignment | suggested people from referee and official slots |
Manual recipients | additional recipients with role, name and email |
Save and send / Send | sends the draft to the selected recipients |
Send again | sends an already sent briefing again |
Retry failed | sends only failed deliveries again |
Follow-up briefing | creates a new message for a later change |
Inform Everyone Reliably
- Add the necessary guidance to the template: meeting point, arrival time, duties and a contact for questions.
- Check assigned referees and officials as well as the home and away clubs. For
Game preparation, club contacts are not automatically selected. - Recorders, coaches, venue contacts and helpers do not automatically all appear as recipients just because they are involved. Add missing contacts under
Manual recipients, or agree on forwarding through the club. - Use
Tournament directorfor a manual tournament contact; useManualfor additional coaches, recorders or venue contacts. A manually added recipient does not gain application permissions. Save draftonly prepares the briefing;Save and sendsends email. Then check the overview andDelivery history: a failed delivery or a recipient skipped because of a missing email address has not been reached.
Change the Time or Game Day and Inform Again
- First save the correct date, venue or assignment in the responsible workspace. A change alone sends no message.
- If a briefing has already been sent, open its
Follow-up briefing. This creates a new draft linked to the earlier message, using the currently saved game data. - Check the type and explicitly describe what changed and which details now apply. Check the current recipients too; inform any newly assigned person.
- Send the new briefing deliberately and check delivery attempts in the history.
Send again repeats the same message to the same saved recipients, for example as a reminder. It does not adopt a new time or assignment. Use a Follow-up briefing for changed content or recipients; use Retry failed for failed delivery attempts. Contacts without email need a confirmed address or another way to receive the information.
An existing draft also does not update itself after a game change. Check and correct it before sending. Outdated identifies a game or assignment changed after delivery; it does not trigger an automatic message.
After delivery, a briefing remains as a snapshot. It is no longer edited so that subject, message, recipients and delivery history stay reviewable.
Document Changes and Withdrawals
Assignment changes are maintained directly on the slots. Communication about them runs through briefing or follow-up briefing.
| Change | Procedure |
|---|---|
| Replace referee | use Change on the slot and then send a follow-up briefing if needed |
| Remove referee | use Withdraw on the slot |
| Replace official role | use Change on the role |
| Remove official role | use Remove on the role |
| Game rescheduled or cancelled | change game data in the matching context and inform affected people by briefing |
Reviewed game reports lock further assignments and briefings. If something must be changed afterwards, the report is first set to correction required in the review context.
9.4Review Game Report
Goal
An assigned referee reviews a submitted game report from their own role. The page Review game report is a read-only page with feedback area. Report data is not changed there.
Workflow
- Open
Referees>My assignments. - In the time range filter, select
Open reviewsorAll. - On the matching game, open
Review noworView/change review. - Check header, matchup, score, game status and report status.
- Check the areas
Result,Coaches,Lineup,Periods,EventsandAdd-on sheets. - Collect findings for feedback in subsection 9.5.
- If needed, return via
Back to My assignments.
Review Points
| Area | What you check |
|---|---|
Referee review | own feedback status and comment |
Result | score, result status and result type |
Coaches | entered coaches per team |
Lineup | players, jersey numbers, positions and pass numbers |
Periods | period scores and notes |
Events | goals, penalties, timeouts and details |
Add-on sheets | special incidents, penalty shootout or additional documents |
Typical Mistakes
| Situation | Meaning |
|---|---|
Review now is missing | the report is not submitted yet or the role is not review-required |
Feedback currently not possible. | the report is not yet in a status that allows feedback |
| data in the report is wrong | do not change it here; document the finding in feedback |
9.5Enter Referee Feedback
Goal
In Referee review, the assigned referee documents their own statement on the game report. Feedback does not block final league review, but is visible and evaluated there.
Workflow
- From
My assignments, openReview noworView/change review. - Check the report data as described in subsection 9.4.
- Add a
Commentif needed. - Click
Confirmif the report is correct from your perspective. - Click
Objectif a discrepancy or question should be documented. - After saving, check status
ConfirmedorObjected.
Actions
| Action | Meaning |
|---|---|
Confirm | saves feedback as functionally confirmed |
Object | saves feedback as objection with mandatory comment |
Comment | optional for confirmation, required for objection |
An objection does not automatically return the report. The final decision is made by the league in Review & approval subsection 10.1 Review game report and make league decision.
Expected Result
| Subsection | Done when |
|---|---|
| 9.1 | a referee or official can save own availability per game day and venue |
| 9.2 | own assignments, roles, filters and review status are understandable |
| 9.3 | assigners can fill, change, remove and, if needed, communicate referee and official slots by briefing |
| 9.4 | an assigned referee can open and check a reviewable game report from My assignments |
| 9.5 | an assigned referee can confirm the report or object with a comment |
